Guidelines for Advertising Position Announcements
In an effort to clarify procedures, expedite handling, and assist NSU department personnel, these are the steps that are necessary to follow to place paid advertisements for open positions at the university:
- Get the Okay-Verify receipt of an approved Authorization to Begin Process for Filling Position-form R1. This can be done by contacting the office of Human Resources.
- Submit proposed announcement verbiage-Send in, preferably by email, detailed wording for a proposed position announcement to Human Resources. It should include position title and job description including responsibilities, qualifications, closing or starting dates (if applicable), salary (optional), application instructions, and reference to NSU’s status as an Affirmative Action/Equal Opportunity Employer. This information may be edited and used for posting the vacancy on the Human Resources website.
- Indicate when and where you want it advertised –Indicate advertising requests with the proposed position announcement when you submit the announcement to Human Resources. HR will send approved position announcement with placement request(s) to University Relations. University Relations will obtain price quotes and placement deadlines, which will be sent to the original requestor so a purchase requisition can be generated. Unless otherwise specified, quotes will be for running the ads as standard NSU position announcement (see attached sample) in specified publications.
- Obtain needed approvals-When department personnel enters requisition in FRS, note on screen 254 both the title of the advertised position and that the ad is to run “as scheduled through NSU University Relations.” It is the responsibility of the person entering the requisition to ensure that each requisition gets all the required approvals in a timely manner. This includes FRS approvals by departmental budget head, dean (if applicable), vice president (if applicable), University Relations, Human Resources and Purchasing. If completed purchase order is not received in University Relations by deadline, ads cannot be placed.
If the hiring department has access to website job listings of any professional organizations or listservs, it may place the approved verbiage without assistance from University Relations.
