Electronic Interlibrary Loan Request
Using this new electronic system you will first and only once create
a profile, then use the system to make Interlibrary Loan requests and track
the progress of your requests online, anytime from any location. Go to ILLiad and
the first time go to "First Time Users" to establish an account.
If there are any questions about this new system, please call the Interlibrary
Loan office at 985-448-4633. This new system is designed to eliminate the
current paper-based system and make interlibrary loan more efficient.
Purpose of Interlibrary Loan
Libraries cooperate to advance scholarship and learning by lending books
and other materials to each other. Interlibrary loans are intended to give
access to unusual materials occasionally needed that the local library may
not own. As such it is not to be used as a substitute for materials already
in the collection.
Ellender Memorial Library offers this service as a supplement to the
Library's collection. Interlibrary loan is a privilege, not a right. There
is no guarantee that if a request is sent, the material will be loaned.
Every effort should be made to use this Library's resources first, before
requesting material from other libraries.
Location and Service Hours
The Interlibrary Loan office is located on the first floor of the Library
in Room 138. The office is open from 7:30 AM to 11:30 AM, and again from 1:00 PM
to 4:00 PM Monday through Friday. Materials may be picked up or returned to the
Interlibrary Loan Department during
these hours. Holiday hours are posted in advance.
ILL services slow down during the holiday season (usually December 12
- January 2), because most libraries do not wish to risk losing materials
in the holiday mail.
Who May Use Interlibrary Loan
ILL services may be used by enrolled NSU undergraduate and graduate students,
faculty, staff, and other Ellender Memorial Library cardholders with an
acceptable borrowing status.
Materials Available Through ILL
Lending libraries determine what materials they will lend. Types of materials
that are usually obtained through interlibrary loan include books, master's
thesis, reports, and photocopies of journal articles when requested in accordance
with copyright law. Dissertations and some materials reproduced in micro
format, such as newspapers, may be borrowed at the discretion of the lending
institution.
Materials Not Available Through ILL
Materials not available through interlibrary loan include, but are not limited
to materials temporarily in use on reserve; materials in special collections
of the Archives; items currently owned by this Library; journal volumes;
recent newspapers; reference materials; rare books; audio/visual materials
and films; records and CD's.
How To Use Interlibrary Loan
Before submitting the request, the online
catalog should be checked to be sure the material is
not available in Ellender Memorial Library. The ILLiad
request form can be completed in full, including the date items are no longer
needed and the amount a patron is willing to pay ($0 is acceptable). Completed
forms will be processed as they are received. Incomplete forms will cause
delays as the librarian attempts to contact the patron.
Length of Time To Receive Material
Ellender Memorial Library's goal is to process the ILL request within
the same working day. The length of time for requested material to arrive
depends on several factors such as completeness of forms,
response time of the lending library, and transit time. Generally, a minimum
of 6-8 working days is needed to search, process, and receive each request.
Always plan ahead when scheduling research and requesting materials from
Interlibrary Loan.
Number of Items Limit
Patrons are limited to 20 outstanding ILL requests at one time. In addition,
only five requests per patron per day, up to the limit of 20, will be processed.
Charges
Many libraries in the state and region have ILL reciprocal agreements
and there are no fees or photocopy charges. Charges from other libraries
can be from the cost of postage to $20.00. Every effort is made to locate
the lending libraries that do not charge a fee.
Payment of charges is the responsibility of the patron using the ILL
service and is expected when material is received. The librarian makes every
effort to process the request in a timely fashion; but, charges on material
received after the patron's deadline date are still the responsibility of
the patron. Non-payment of ILL charges can result in the suspension of Library
borrowing privileges.
Loan Period
Loan periods for books are set by the lending libraries. Any other restrictions
are also set by the lending library and not Ellender Memorial Library and
will be strictly enforced. Books are not normally renewed, but if a renewal
is necessary, the patron should contact the ILL librarian at least four days
ahead of the due date. Renewals are at the discretion of the lending library.
Photocopies of articles are for the patron to keep.
Notification
When the material arrives, the patron will be notified by telephone,
E-mail, or a written letter. Material can be picked up in the Interlibrary Loan
Department on the first floor (Room 138) of the Library. The time the material sits in the
Library is part of the loan period, so it is to the patron's advantage to
pick up the material promptly.
Returning Material
All materials borrowed (with the exception of photocopies) should be
returned to the ILL office on the first floor (Room 138)
of the Library. Patrons should leave the ILL identification paper band on
the book. Patrons are responsible for borrowed material until it is safely
returned to the ILL office. It is important that Ellender Memorial Library
return items promptly so as not to jeopardize the Library's borrowing privileges.
