By filling out the event request form, you tell us the details of your event once, and we make sure that information is shared with Catering Services, Facilities and Maintenance staff as well as Marketing and Communications.<\/p>\n<p><strong>What is a request form required for?<\/strong><br \/>\nA request form is also required for all events\u00a0organized\u00a0by Nicholls departments, student organizations or groups. Events and activities that require a request form include but are not limited to:<\/p>\n<ul>\n<li>meetings, workshops and presentations<\/li>\n<li>fundraisers, bake sales and raffles<\/li>\n<li>lectures, banquets, award\u00a0ceremonies<\/li>\n<li>demonstrations, displays and galleries<\/li>\n<li>performances and dances<\/li>\n<li>off-campus events sponsored by Nicholls organizations, groups, departments or offices<\/li>\n<li>events held in campus outdoor spaces such as the Quadrangle<\/li>\n<li>lobby tables in Bollinger Memorial Student Union<\/li>\n<li>the use of promotional table tents in the Student Union Snack Bar, Colonel\u2019s Retreat or\u00a0Galliano Dining Hall<\/li>\n<\/ul>\n<p><strong>Do I need to submit a request form to use a facility\u00a0in my own department?<br \/>\n<\/strong>Yes, in most cases, a form is required to use any facility. However, forms are NOT required for informal, internal meetings held in your own office\/department space.<\/p>\n<p><strong>Is an event request form required for class field trips?<br \/>\n<\/strong>No, but insurance forms are required. Please contact Dr. Tommy Ponson (Ext. 4531, <a href=\"mailto:tommy.ponson@nicholls.edu\">tommy.ponson@nicholls.edu<\/a>) to obtain required insurance forms or download form from the <a href=\"https:\/\/www.nicholls.edu\/organizations\/\">Student Organizations website<\/a>.<\/p>\n<p><strong>How far in advance do I need to submit a request form?<\/strong><br \/>\nAll request forms must be submitted <strong>at least two weeks prior<\/strong> to the event. For events open to the public or those that involve more than 75 participants, forms should be submitted at least four weeks prior to the event. Request forms for major events or recurring meetings should be submitted six to 12 months in advance.<\/p>\n<p><strong>How can I find out what facilities are available on my preferred event date?<br \/>\n<\/strong>To search available facilities on any given date, visit the Reservations Calendar.<\/p>\n<p><strong>When can I start publicizing my event?<\/strong><br \/>\nAs soon as you receive an email from the Reservations Office confirming your event, you may begin publicizing it. Contact the Office of University Marketing and Communications at Ext. 4135 for assistance.<\/p>\n<p><strong>What if I need to change the date, time or location of my event after it is confirmed?<br \/>\n<\/strong>Email <a href=\"mailto:reservations@nicholls.edu\">reservations@nicholls.edu<\/a>\u00a0regarding\u00a0any changes to your confirmed reservation.<\/p>\n<p><strong>How can I request for President Jay Clune and\/or Mrs. Allison Clune to attend and\/or present at my event?<\/strong><br \/>\nPresident and Mrs. Clune welcome your invitations and make every effort to attend events as their schedule permit. To request their participation and\/or attendance at your upcoming event, please fill out and submit the\u00a0<a href=\"https:\/\/www.nicholls.edu\/president\/\" target=\"_blank\" rel=\"noopener noreferrer\">President&#8217;s Engagement Planner Form<\/a>.<\/p>\n<p><strong>What is the protocol for hosting\u00a0legislators, political leaders and\/or other well-known public figures at\u00a0a university event?<\/strong><br \/>\nPlease contact the Office of University Marketing and Communications (Ext. 4303 or <a href=\"mailto:jerad.david@nicholls.edu\">jerad.david@nicholls.edu<\/a>) if you expect legislators or other highly recognizable guests to attend\u00a0so that any media inquiries may be handled appropriately.<\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: center;\">Last reviewed: 1\/31\/2018<\/p>\n","protected":false},"excerpt":{"rendered":"<p>What&#8217;s the purpose of the Nicholls event approval process?
